Renata Rutjes International respects your privacy. This privacy policy explains which personal data we process when you visit renata-rutjes.com, book a meeting, sign up for the newsletter or contact us, why we do so, and what rights you have. We process personal data in accordance with the General Data Protection Regulation (GDPR).

Which personal data do we process, and why?
- Contact by email or phone. When you email or call us, we process your name, contact details and the content of your message to answer your question and, where relevant, to prepare or carry out an assignment. Legal basis: our legitimate interest in answering your question, or taking steps at your request before entering into a contract.
- Booking a meeting. Appointments are scheduled through Calendly. When you book, Calendly processes the details you enter (such as name, email address and the information you provide) so we can plan and prepare the meeting. Legal basis: taking steps at your request before entering into a contract.
- Newsletter. If you sign up for the newsletter, we process your name and email address through ActiveCampaign to send it to you. Legal basis: your consent. You can unsubscribe at any time using the link in every newsletter.
- Clients and business contacts. For assignments we process the contact and business details needed to carry out the agreement and for our financial administration. Legal basis: performance of a contract and legal obligations (such as the tax retention obligation).
- Website visits and cookies. Our hosting provider processes technical data such as your IP address and browser information to deliver the website securely. With your consent we use the Meta (Facebook) pixel to measure the effectiveness of our advertising. See our cookie policy for details. Legal basis: our legitimate interest in a secure website, and your consent for marketing cookies.
- Website statistics. With your consent we use Google Analytics to see how visitors use the website, so we can improve it. IP addresses are not stored by Google Analytics 4. Legal basis: your consent.
Who receives your data?
We do not sell your personal data. We only share it with parties that help us provide our services, and only as far as necessary:
- STRATO (website and email hosting, within the EU);
- Calendly (appointment scheduling, United States);
- ActiveCampaign (newsletter, United States);
- Meta Platforms (Facebook pixel, only after your consent).
- Google (Google Analytics and Search Console, only statistics after your consent);
Where data is transferred outside the European Economic Area, this is done on the basis of appropriate safeguards, such as the EU-U.S. Data Privacy Framework or the European Commission’s standard contractual clauses.
How long do we keep your data?
We do not keep personal data longer than necessary for the purpose for which it was collected. Correspondence is kept for up to two years after the last contact, unless it relates to an assignment. Newsletter data is kept until you unsubscribe. Financial records are kept for seven years, as required by Dutch tax law.
Your rights
You have the right to access, correct or delete your personal data, to restrict or object to its processing, and to data portability. Where processing is based on consent, you can withdraw that consent at any time. To exercise your rights, email renata@renata-rutjes.com. We respond within one month.
If you believe we are not handling your data properly, please let us know. You also have the right to lodge a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens).
Security
We take appropriate technical and organisational measures to protect your personal data, including an encrypted (HTTPS) connection, up-to-date software and restricted access to the website administration.
